The Borough of Old Tappan, New Jersey has been named the 2025 vialytics RoadStar Award winner in the Work Order Master category, recognizing the team’s outstanding use of digital work orders to manage daily public works operations.
Using the vialytics platform, the Old Tappan Department of Public Works has created more than 1,000 work orders to coordinate and document work across the community. From routine maintenance to seasonal operations, the system helps the team organize tasks, track progress, and capture valuable operational data.
Before adopting vialytics, the borough was already experimenting with digital tools to manage work orders.
“We were using ESRI Workforce before we started using vialytics,” said Andy, Director of Public Works for the Borough of Old Tappan.
The department was looking for a system that would allow supervisors to assign work more efficiently while also building a reliable record of completed tasks.
“We wanted something that we could send out to the guys without having to see each person for a face to face conversation,” Andy explained. “We also wanted to start capturing data that we could use in the future.”
Today, the team uses vialytics to track a wide range of activities throughout the borough. Work orders help document the tasks performed by crews and create a record of how time and resources are used across the department.
“We track almost all of our activities through the application,” Andy said.
This includes everyday public works responsibilities such as snow removal, leaf collection, pothole repairs, catch basin cleaning, tree trimming, sign installation, and other maintenance work that keeps the borough running smoothly.
The platform also allows the department to record hours spent on different jobs, document completed work, and identify which employees performed each task. Over time, this information creates a valuable dataset that can support future planning and decision making.
Since implementing vialytics, the department has seen improvements in how work is organized and completed.
“Since we started using vialytics, we have become more efficient and effective in almost all of the different disciplines that we cover,” Andy said.
The team had previously tested other systems but found that vialytics provided a simpler and more flexible solution for their needs.
“We have tried ESRI, SDL and our own form of a work order system and none have compared. It is easy to use and add job assignments that are unique to our department.”
Receiving the Work Order Master RoadStar Award came as a surprise to the Old Tappan team.
“We were shocked to win the award, but when we found out that we did, we were very happy,” Andy said.
The recognition quickly became a moment of pride for the entire department.
“We gathered all the guys together and told them about the award that we won. It was a really nice moment for the crews.”
The award highlights the commitment of the Old Tappan DPW team to improving how public works operations are managed and documented. By embracing digital workflows and capturing operational data, the borough is building a stronger foundation for efficient and accountable infrastructure management.
